Contact Entry

Create new contact

  1. Navigate to the Other tab in the middle menu.
  2. Click the New button in Quick Action.
  3. Click the Ok to process.
  4. The system will automatically create a new contact and redirect you to its detail page.
  5. Begin filling out the form with the contact’s information (First name, Last name, mobile, email, etc. )
  6. Once completed, the contact is ready to be used in orders, invoices, and other parts of the system.

Contact general

Contact Overview

Detail

  • Contact no: Generated by the system; cannot be edited.
  • Customer & Supplier: Select the contact profile; both can be chosen.
  • Title: Select the title of contact.
  • First name: Enter the contact’s first name.
  • Last Name: Enter the contact’s last name.
  • Type: Select the type of contact.
  • Direct Dial: Enter the contact’s direct number. This is considered the highest-priority communication method in the system, above the mobile number.
  • Mobile: Enter the contact’s mobile number.
  • Email: Enter the contact’s email address.
  • Fax: Enter the contact’s fax number.
  • Home phone: Enter the contact’s home phone number.
  • Company: click on the image company icon to select the company associated with the contact.
  • Company phone: Enter the company’s phone number. If a company is already selected, the system will auto-fill this field.
  • Position: Select contact's position.
  • Department: Select contact's department.
  • Extension no: Enter the contact’s extension number. This field is used for Direct Dial purposes.
  • Inactive: Select this option if the contact is no longer active in the system.
  • Unsubscribe: When checked, the contact will not receive company updates or newsletters.

Default address

  • An address must be created first before it can be set as the contact’s default address. (To create an address, see Create new address)
  • Users cannot create a default address by directly entering information into the default address form.
  • Once an address is set as default, it can be edited directly within the default address form.

Contact address

Create new address

  1. Navigate to the Address tab in the middle menu.
  2. Click the image plus icon located in address header.
  3. Begin filling out with the address’s information (Address 1, Address 2, Address 3, Town/City, Province, Country, etc. )

Update address

  1. Under Address tab in the middle menu.
  2. Update the infomation for each address
    • Name: Used to label the type of address, such as Billing, Shipping, etc.
    • Default: Marks this address as the primary/default address for the contact. Only one default address is allowed per contact.
    • Delete: Click the image delete icon to remove the address from the system if it was created by mistake or is no longer needed.
